Privacy policy

How we collect, use and protect your personal information. Last updated November 4, 2026.

Who we are

Kingsway Advisory (“Kingsway”, “we”, “us”) is an agency of licensed advisors that helps families and business owners with private wealth, registered savings and investments, business owner planning, and life insurance. This policy explains how we handle personal information collected through www.kingswayadvisory.com. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

What we collect

We only collect what you choose to give us through this website:

  • Contact form and chat: your name, email address, phone number if you provide it, the topic you choose and your message.
  • Booking a meeting: your name, email address, phone number and the meeting time you select.
  • Advisor applications: your name, email address, phone number, city, province, a referral code if you have one, and anything you tell us about yourself.
  • Advisors who connect Google Calendar: the calendar information described in the Google Calendar section below.
  • Technical information: the page a form was sent from and standard server logs (such as IP address and browser type) kept by our hosting provider for security and reliability.

Please do not send sensitive information such as your SIN, banking details or medical history through the website. If we need it to provide a service, we will collect it securely and with your consent once we are working together.

How we use it

  • To reply to your message or question.
  • To schedule and confirm meetings, including sending calendar invitations.
  • To review an application to join our team and follow up with you about it.
  • To keep records of our conversations, as our professional obligations require.
  • To keep the website secure and working properly.

Consent

By sending us a form, booking a meeting or applying, you consent to our using your information for the purpose you sent it for. We will ask for your consent again before using it for any new purpose. You may withdraw your consent at any time by contacting us, subject to legal or contractual limits, and we will explain what that means for any service we are providing.

Who we share it with

We do not sell or rent your personal information. We share it only with service providers who help us run this website and our business, such as website hosting, secure database storage, email delivery and calendar tools. They may use it only to provide those services to us and must protect it.

If you later apply for an insurance policy or open an account, the insurer or provider you choose will receive the information needed for that application, with your consent. We may also disclose information where the law requires it.

Some of our service providers store information outside your province or outside Canada, including in the United States. Information stored there may be accessible to authorities under the laws of that country.

Google Calendar for Kingsway advisors

Licensed advisors who use the Kingsway advisor portal can choose to connect their own Google Calendar. This is optional, the advisor starts it from their profile, and it applies only to that advisor’s Google account. Clients and visitors to this website are never asked to connect a Google account.

When an advisor connects, Kingsway accesses this Google user data:

  • Their Google account email address, so their profile shows which account is connected.
  • A calendar named “Kingsway” that the portal creates in their account. Meetings the advisor books in the portal, or that clients book through the advisor’s booking page, are added to it, and are updated or removed when the meeting is rescheduled or cancelled.
  • Free and busy times on their main calendar and the Kingsway calendar, so their booking page never offers a client a time when the advisor is already busy. Only the start and end of busy periods are used.
  • Only if the advisor turns on meeting import: events on their main calendar for the past and coming weeks (title, time, location, video link and guest names and emails), so the portal can suggest client meetings to add to the advisor’s pipeline. Nothing is added until the advisor confirms it, and suggestions the advisor dismisses are not used.

We store the connected email address, the ID of the Kingsway calendar, the IDs of events the portal created, the suggestions described above and an access token that lets the portal keep the calendar up to date. The token is encrypted before it is stored. This data is used only to provide these calendar features to that advisor inside the portal. It is not shown to other advisors, it is not sold, it is not used for advertising, and it is not used to train artificial intelligence or machine learning models. People at Kingsway do not read it unless the advisor asks us to for support, it is needed for security, or the law requires it.

Kingsway’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

An advisor can disconnect at any time from their profile in the portal, or from their Google account at myaccount.google.com/permissions. Disconnecting revokes our access and deletes the stored token and connection details. Meetings already on their calendar stay there, because they are the advisor’s own appointments. To have the rest of their calendar data deleted, an advisor can contact us using the details below.

How we protect it

We use reasonable physical, organizational and technical safeguards, including encrypted connections (HTTPS) and access controls, so only people who need your information to help you can see it. No method of sending or storing information online is completely secure, but we take the protection of your information seriously.

How long we keep it

We keep personal information only as long as we need it for the purpose it was collected, or as long as the law or our regulators require. When it is no longer needed, we delete it or make it anonymous.

Cookies and analytics

This website does not use advertising cookies or third party tracking pixels. Your browser may store small settings needed for the site to work. If we add analytics in the future, we will update this policy first.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. We will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Contact us about privacy
